Information we process
We collect your name, email, company name, website, account settings, and authentication details. Social sign-in providers share your account identifier and the profile details you authorize, such as your name, email and photo. We also process show URLs, goals, uploaded lists and other information you submit. Our research can include business contact details, roles, company information and show participation from public websites, show directories, authorized lists and data providers.
How we use information
We use information to manage accounts, research companies and trade shows, prepare recommendations and reports, provide support, process payments and protect the service. Company research and recommendations may use AI. Business recommendations support your decisions; they do not make employment, credit or other decisions with legal effects about individuals.
Legal bases
Where the GDPR applies, we rely on performance of our contract for the service you request, legitimate interests for relevant business research, security and service administration, legal obligations for required records, and consent where required. You may withdraw consent at any time and object to processing based on legitimate interests, including direct marketing.
Service providers and disclosure
Hosting, database, authentication, email, payment, research and AI providers process information needed for their services. These include Stripe for payments, Resend for email and OpenRouter and the selected model provider for AI processing. We do not receive your full card number. We may disclose information when legally required or necessary to address fraud or protect legal rights. We do not sell your account information.
Cookies and storage
We use cookies and browser storage for sign-in, security, language and appearance preferences. Optional analytics or advertising technologies require consent where applicable.
Website and sales statistics
We run Matomo on our own infrastructure for website statistics. It records the pages you view, how long a page stays open, the referring domain, campaign labels from links and clicks on show-page buttons. We do not send your IP address, browser details, full query strings, names, emails or interview answers to Matomo.
Page views from one visit are grouped by a random identifier. By default the identifier exists only in the open browser tab and ends when the tab is closed or reloaded. With your permission we also set a first-party cookie, hb_vid, that holds a random identifier for 13 months, so we can recognize a return visit and see which visit led to an order. Visitors whose browser time zone is in the European Union, the European Economic Area, the United Kingdom or Switzerland are asked first; the browser checks the time zone and does not send it to us. Visitors elsewhere receive the cookie without a prompt and can remove it with the links below. Your answer to the prompt is stored for 13 months in the cookie hb_analytics_consent.
Our web server keeps a request log with the requesting IP address, browser user agent, referring page, requested address and time. We use it to keep the website secure and working and to tell automated crawlers apart from visitors. The log is deleted after 14 days and is not used for advertising or combined with account information.
Personal preview links to sample briefs record, for each recipient, when the link is opened, how far the preview is read and whether checkout is started, so the person who sent it knows it was seen. We keep a hash of the network address and browser that changes every day, never the address itself, and we leave out our own staff and automated link checkers.
We also measure interview progress, checkout attempts, confirmed initial purchases and full refunds using records created while providing the service. A random identifier groups the milestones of one order. If your browser holds the hb_vid cookie when you open checkout, we store its value with the order so these milestones join your website visits in Matomo. We do not use this information for advertising profiles or share it with advertising providers. Where applicable, our legal basis is legitimate interests for statistics that use no cookie, and your consent for the hb_vid cookie where consent is required. Analytics detail is retained for 90 days; backup copies expire after 14 additional days. Transaction records have their separate retention requirements.
Disable optional analytics on this browser or enable it again. The preference is stored in a cookie solely to remember your choice, and turning analytics off also deletes the hb_vid cookie. We also respect Do Not Track and Global Privacy Control signals. Disabling analytics does not stop the operational records needed to provide interviews, fulfill orders or keep payment records. You can also contact privacy@hallbrief.com to object to analytics processing.
Retention and international processing
We retain information for as long as needed to provide the service, resolve disputes, protect security and meet legal recordkeeping obligations. Retention depends on the information, purpose and applicable law. Our company is in the United States and providers may process information in other countries. Where required, international transfers must use an applicable lawful transfer mechanism; contact us for information about the safeguards relevant to your data.
Your rights
Depending on applicable law, you may request access, correction, deletion, restriction or a portable copy of your personal data, and object to processing. These rights also apply where we obtained professional information from other sources. Contact privacy@hallbrief.com; we may verify your identity. You may complain to your local data protection authority. We respond within applicable legal deadlines.
Changes
We will publish changes here and notify you of material changes where required.
